Fire Safety

The following shall be punishable by a fine:

• Any individual who fails to exercise proper caution in the use of fire, light, matches, ash, inflammable substances, and any other substances or articles which may cause or contribute to fire, or who fails to ensure that persons belonging to the household or enterprise of the individual exercise such caution.
• Any individual who owns or makes use of electrical devices or other light, heating, power plant or machinery, which may cause or contribute to fire, or who makes use of such systems or devices or allows them to be used, regardless of them not being in good condition.
• It is therefore extremely important that you check the following points and ensure you that your stand complies with the following:
• Coffee-makers, electric kettles, photocopiers/printers, refrigerators and other electrical appliances on your stand require a mounted CO2 hand-held fire extinguisher which is visible and accessible.
• Bioethanol stoves must be installed according to the supplier’s instructions and safety specifications. It is not permitted to carry out any type of fuel decanting within exhibition opening hours. Moreover, it is not permitted to store any reserve fuel on the stand, and the stove’s combustion chamber must be covered at closing time if the stove still contains fuel. Appropriate fire extinguishing equipment must be available on the stand.
• Nothing containing flammable or explosive liquids may be brought into the halls.
• Candles pose a fire risk. It is therefore imperative that candles cannot tip over and that they are placed in solid candlesticks on non-flammable surfaces. Candles must not be placed near textiles, and they must not drip. If they pose a safety hazard, The RAI may require that the candles are extinguished.
• All fire technical installations such as emergency exits, fire hoses, fire cabinets, call points and fire alarms must not be hidden, obstructed or covered.
• Empty flammable packaging and stock must be continually removed from the hall.
• Avoid using paper, cardboard, plastics, artificial flowers/ decorations/plants etc. which are readily combustible, explosive, melt, drip or which, in a fire, emit toxic gases or large quantities of smoke. According to the Regulation on operational requirements for hotels, etc. (Bekendtgørelsen om driftsmæssige forskrifter for hoteller m.v.,) 14.6/14.7, all decoration material must be safeguarded as class B. However, certain items can be impregnated, for example artificial flowers. In general, materials must not be more flammable than wood.

Sponsors providing their own carpet must have one of the following approvals:

1. Class G flooring as in DS-1063.2 – in accordance with Danish Building Regulations ’95, chapter 6.11.1 section 5.
   

2. Class Dfl-s1 flooring is classified according to EN 13501 Fire classification of construction products and building elements
   

3. NT Fire 007 (Scandinavian approval) If you would like to purchase firefighting items, please check the ‘RAI’ for more information
   

4. Gas Cylinders: If you need gas cylinders, bottled gas (F-gas) or other types of gas cylinders (e.g. oxygen, hydrogen or helium) on your stand, sponsors must declare this via their Health & Safety form which must be submitted at least six weeks before the start of the event. This is because in the event of fire at The RAI, a complete overview of where gas cylinders are located on the premises must be supplied to The RAI Fire Brigad
   

First Aid

In the event of an emergency, call the RAI team using the following instructions:

Call +31 20 549 1234 and report the accident.

Indicate:

1. Who you are
2. What happened
3. Where it happened
4. The number of victims
5. Stay with the victim or victims and provide first aid if possible while awaiting expert assistance

There is a dedicated isolation room for anyone at the event showing symptoms of the coronavirus.

Items of special risk

Such items need to be covered in stand plans/ risk assessments and method statements for Space Only sponsors and must also be detailed in the Health and Safety Declaration Form which is a mandatory form for all sponsors. Examples are listed below:

• Heavy Goods
• Compressed gases
• Water features
• Smoke machines
• Hazardous substances
• Lasers
• Stages Simulators Strobe lights Vehicles on Stands

If you are concerned as to whether something you are bringing onsite falls in the high-risk category please contact the stand only sign off contractor listed in the order forms and suppliers page.

Forklifts

Must be used by DB Schenker. If you require a forklift on site, please contact in advance to make a booking.

Use of ladders

• Due to health and safety regulations the maximum time on a ladder is two hours
• Please ensure you plan beforehand to make sure you have the correct height ladders to access areas of your stand that you need.
• Details are recorded by Health and safety manager and action will be taken where this does not happen.
• Maintain three-point contacts
• Keep at least three of your four limbs in contact with a ladder at all times– two hands and one foot or two feet and one hand.
• Working with correct height ladder
• Good condition steps and locked spreader
• Firm and level base
• One person on ladder at all time
• Buddy system, one person must hold the ladder
• Barricade the affected area with warning signs
• Only short duration works carry out with ladder
• Do not use top two rungs
• Do not overreach
• Do not wear slippers
• Do not use damaged ladder

Security

Security will be operational throughout Money20/20 Europe. Money20/20 Europe will take all reasonable security precautions possible during build-up, open days and breakdown. However, all sponsors are advised that sensible steps should be taken by themselves to protect their property.

Please see the following tips to help you secure your stand and the products you are exhibiting;

• We advise you to lock away any valuable items overnight or when unattended in lockable cupboards / drawers etc. Remove any small carriable items off your stand if possible.
• Use any locks, if applicable, to enable you to secure your items to desktops / shelves etc. during the exhibition open times.
• Have your stand and valuable items manned by a member of your staff at all times - sponsors are strongly advised against leaving valuables unattended on their stand.
• Please speak to your insurance company for proper coverage on any material from the time of travelling to the show until you return to your premises.

Children on site

Under no circumstances will children under the age of 16 years be allowed into the exhibition halls during build-up and breakdown. The exhibition halls can be hazardous during these times and this ruling is in place to protect children’s safety. We regret no exceptions can be made to this ruling. A copy of the event breakdown procedures will be delivered to your stand during the open period so you will be fully informed of how breakdown will take place.

Protecting the venue

It is important that you lay protective (fire retardant) covering during build-up to avoid damaging the hall floor.

Should it prove necessary for the venue cleaners to remove any carpet tape residue from the floor after sponsors have left, sponsors will be charged directly. Should sponsors cause damage to the venue’s building, its furnishings or equipment, you will be held directly responsible and invoiced to cover the costs.

Stand Insurance

Whilst every precaution to protect your property during the event is taken, Money20/20 Europe, Ascential Events, The RAI Amsterdam, GES and any other official supplier are not responsible for any loss, consequential loss, or damage to your products whilst at the exhibition. It is a legal requirement that all sponsors must have full indemnity insurance against public liability and all other usual risks in respect of loss, damage, injury to goods and persons, and against theft. Sponsors are also responsible for insuring against any legal liability incurred in respect of injury or damage to property belonging to third parties. In addition to this you should protect expenditures against abandonment and cancellation or curtailment of the event due to reasons beyond our control.

You will receive an email from noreply@inevexcoevents.com with the link to their online portal, if you are already insured simply upload proof to their online system and once approved the fee will be waived.
